The Professional Independent Insurance Agents of Colorado (PIIAC) is looking for an Administrative Assistant and Event Coordinator. The individual must be detail oriented and able to handle multiple tasks at any given time. This individual will be supporting all departments of the organization. This role be 100% in-person. The office is in Central Park/Stapleton area. 

Administrative Assistant Job Responsibilities:

  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Carries out administrative duties such as filing, copying, binding, scanning, etc.
  • Works with team to support all functions to help grow the organization. 
  • Database management, researching marketing lists, and working with communications team to expand the reach. 
  • Working with team to assist with compliance and other recordkeeping duties. 
  • Manages various projects as assigned.
  • Contributes to team effort by accomplishing related results as needed.
  • Assists accounting department in data-entry and review of different reports. 
  • Other administrative duties as assigned
 
Events Coordination
  • Attend association events throughout the year. 
  • Process event registrations and sponsorships.
  • Coordinate with attendees, sponsors and exhibitors details of the event. 
  • Coordinate with speakers for events, to include timelines, content, travel, etc. 
  • Coordinate with the event venue event set-up, food and beverage, AV, etc. 
  • Work with the marketing team to develop marketing collateral for events. 
  • Work with the marketing team to coordinate event marketing and communication.
  • All other aspects of event coordination as assigned and required for successful event.
Skills and Qualifications:
  • Driven and goal-oriented individual.
  • Strong written and verbal communication and presentation skills.
  • Ability to tactfully handle stressful and difficult situations.
  • Able to manage their own workflows with limited supervision. 
  • Willingness to do numerous tasks to support the organization. 
  • Able to keep their desk and workflow organized and able to multi-task.
Education and Experience Requirements

  • 3 + years of administrative assistant experience
  • Event coordinate a plus
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
 
 
Compensation: $50,000.00 - $53,000.00 per year
